Full Time Receptionist

SUMMARY OF THE JOB:


First impressions are everything! Committed to premiere level customer service excellence, the Receptionist is the face of our front desk and is the first point of contact for telephone, or in-person visitors. In addition to switchboard and reception coverage, the successful candidate will provide administrative support. This role requires an engaging smile and personality, flawless execution, high energy and delivery of first-class service.



ESSENTIAL DUTIES AND RESPONSIBILITIES:

(Other duties may be assigned as required)


  • Ensures all visitors complete COVID-19 health screening before entry into the office and wear masks upon entry

  • Attends to all visitors and callers and provides a welcoming and professional experience both over the phone and face-to-face

  • Welcomes visitors and callers from the general public, internal and external clients, customers, and VIP/high profile guests

  • Answers, screens, and forwards incoming telephone calls in a courteous and efficient manner and accurately relays messages when applicable

  • Arranges for and coordinates incoming and outgoing couriers

  • Provides general administrative support and office management, including office supply orders, preparing correspondence, mail distribution, data entry, scheduling meetings, booking boardrooms, etc

  • Provides support by assisting with property administration, purchase orders, invoices, and some legal administration

  • Assists with the coordination and setup of events as required

  • Monitoring of L000 kitchen and supplies including running the dishwasher at EOD and emptying dishes in the morning. Request kitchen supplies as needed and replenish when running low.

  • Assists with special projects as required


REQUIRED EXPERIENCE AND QUALIFICATIONS:


  • Administrative and professional reception experience

  • Related post-secondary education

  • Ability to relate professionally to all levels of staff, guests, clients, and VIP visitors with a high level of maturity, diplomacy, and a positive demeanor

  • Experience dealing with premium or high-profile guests

  • Professional personal presentation

  • Previous switchboard experience

  • Solid working knowledge of MS Office

  • Excellent verbal communication skills and telephone etiquette

  • Ability to handle the pressure of a busy reception and maintain professionalism and confidentiality

  • A team player with a strong customer service focus

  • Highly organized and detail-oriented with an ability to prioritize duties and work independently

  • Demonstrates an ongoing and proactive ability to learn new skills
