Office Administrator

Position Summary


A forest product logistics company is looking for an office administrator to provides front desk duties and basic customer service tasks to employees and visitors, supports technical logistics in an office space, works in the background to ensures employees have the proper support to work efficiently, and the workplace runs smoothly.


Responsibilities

  • Keep front desk tidy and presentable with all necessary material

  • Greet and welcome guests and visitors

  • Aid correspondence for the office, such as emails, letters, packages, and phone calls

  • Prepare outgoing mail by drafting correspondence, securing parcels etc.

  • Check, sort, and forward emails coming to company’s general mailbox

  • Keep administrative records and files updated and organized

  • Oversee office supplies and services, including restocking supplies, relocating employees to new areas, setting up desks and equipment for new hires, or creating important office forms

  • Monitor office expenses and costs

  • Update office records and databases that contain personnel, financial, and office data

  • File important documents, such as reports, meeting notes, emails, and letters

  • Book flights and arrange travel for company executives

  • Ensure availability to help colleagues and employees where necessary

  • Answer questions and address complaints

  • Take up other duties as assigned (arrange staff lunch order, travel, events arrangements, etc.)


Qualifications

  • High school or higher education, additional qualifications will be a plus

  • One to two years of experience in relevant position

  • Excellent knowledge of MS Office and office equipment

  • Strong communication, people skills and customer service orientation

  • Good organizational, multi-tasking, and problem-solving skills

  • Abilities, adaptability, and flexibility to adjust priorities

  • Attention to detail to submit work or send communications without error

  • Willing and open-minded learner

  • Ability to handle sensitive information

  • Proficient in English, additional language is an asset

  • Leadership skills to take control of a situation and make quick decisions when necessary
