Junior Property Administrator

SUMMARY OF THE JOB:
 

First impressions are everything! Committed to premiere level customer service excellence, the Receptionist is the face of our front desk and is the first point of contact for telephone, or in-person visitors. In addition to switchboard and reception coverage, the successful candidate will provide administrative support. This role requires an engaging smile and personality, flawless execution, high energy and delivery of first-class service.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

(Other duties may be assigned as required)


Junior Property Administrator

  • Maintains the rent roll entries for the properties as requested

  • Prepares rent/ maintenance invoices for residential and commercial tenants monthly/as needed

  • Monitors tenants move in/move out database to co-ordinate with cleaning services monthly

  • Generates key monthly reports from Skyline database and archiving such information

  • Co-ordinates with Leasing Manager to create/ maintain commercial leasing advertisements

  • Assists with drafting tenant correspondence, lease amendments and other communications

  • Maintains the commercial tenant insurance and business license tracking database

  • Provides prebilling assistance and arrears assistance in due course.


REQUIRED EXPERIENCE AND QUALIFICATIONS:

  • Administrative and professional reception experience

  • Related post-secondary education

  • Ability to relate professionally to all levels of staff, guests, clients, and VIP visitors with a high level of maturity, diplomacy, and a positive demeanor

  • Experience dealing with premium or high-profile guests

  • Professional personal presentation

  • Previous switchboard experience

  • Solid working knowledge of MS Office

  • Excellent verbal communication skills and telephone etiquette

  • Ability to handle the pressure of a busy reception and maintain professionalism and confidentiality

  • A team player with a strong customer service focus

  • Highly organized and detail-oriented with an ability to prioritize duties and work independently

  • Demonstrates an ongoing and proactive ability to learn new skills
