About the Role
Organize all administration related to project drawings, for both Development and Construction
Draft, coordinate, and facilitate the execution of purchase orders, contracts, and other monthly reports
Reconciliation of accounts to ensure internal accounting system reflects that of the external vendors/consultants
Work closely with internal finance department to ensure proper financial information is maintained and communicated
Identify department needs and improve workflow, assist with the development and implementation of standardized department practices, direct changes amongst project teams
Organization of documentation and file maintenance: responsible for ensuring filing system and records are organized and up to date (i.e., SharePoint and ShareFile);
Onboard new Development staff and provide basic training on process, document management, etc.
Review consultant proposals and prepare consultant agreements with oversight from development team lead
Assist the Development team with the coordination of meetings, conference calls, reserving boardrooms, welcoming guests, and ordering refreshments for various internal meetings
Attend internal development meetings, record and distribute meeting minutes
Assist in travel arrangements for executives, enter travel plans into calendars, including preparation and submitting of expenses to AP
Assist Executive Assistant/HR in event coordination (i.e., Business Planning, Corporate Events, etc.)
Provide general administrative support including mail and courier coordination, corporate credit card reconciliation, travel bookings, and organizing team meetings/functions
Administrative experience, preferably within a development, real estate, or construction company
Excellent proficiency in Microsoft Office (i.e., Word, Excel, PowerPoint, Outlook, MS Project)
Strong understanding of SharePoint and ShareFile
Excellent interpersonal and communication (written/verbal) skills with the ability to manage tight deadlines and work under pressure
Must have strong numerical skills with a keen focus on producing accurate and high caliber work
