Development Administrator

About the Role

  • Organize all administration related to project drawings, for both Development and Construction

  • Draft, coordinate, and facilitate the execution of purchase orders, contracts, and other monthly reports

  • Reconciliation of accounts to ensure internal accounting system reflects that of the external vendors/consultants

  • Work closely with internal finance department to ensure proper financial information is maintained and communicated

  • Identify department needs and improve workflow, assist with the development and implementation of standardized department practices, direct changes amongst project teams

  • Organization of documentation and file maintenance: responsible for ensuring filing system and records are organized and up to date (i.e., SharePoint and ShareFile);

  • Onboard new Development staff and provide basic training on process, document management, etc.

  • Review consultant proposals and prepare consultant agreements with oversight from development team lead

  • Assist the Development team with the coordination of meetings, conference calls, reserving boardrooms, welcoming guests, and ordering refreshments for various internal meetings

  • Attend internal development meetings, record and distribute meeting minutes

  • Assist in travel arrangements for executives, enter travel plans into calendars, including preparation and submitting of expenses to AP

  • Assist Executive Assistant/HR in event coordination (i.e., Business Planning, Corporate Events, etc.)

  • Provide general administrative support including mail and courier coordination, corporate credit card reconciliation, travel bookings, and organizing team meetings/functions


  • Administrative experience, preferably within a development, real estate, or construction company

  • Excellent proficiency in Microsoft Office (i.e., Word, Excel, PowerPoint, Outlook, MS Project)

  • Strong understanding of SharePoint and ShareFile

  • Excellent interpersonal and communication (written/verbal) skills with the ability to manage tight deadlines and work under pressure

  • Must have strong numerical skills with a keen focus on producing accurate and high caliber work
